Let's Face It--If You Can't Find What You're Looking For, Your Business Will Suffer. Here's How to Make Your Filing Life Easier.

The filing system will make or break your business. Whether the information is in a computer file or in a paper file, if you can't find what you're looking for, you're sunk.

Filing has always been considered a boring and menial task. Individuals today find themselves with the overwhelming task of managing their own filing systems. But once you get the files set up in an orderly manner, the filing will be a breeze. 

LOOK AT THE BIG PICTURE

How many categories of files do you need? Think of these as individual file cabinets or as individual file folder icons on your desktop. For instance, once you establish an income, expense, and correspondence file, you can move on to beak this down into sub-folders within each of the main categories. 

CHUNK IT DOWN

Within the correspondence file, for example, you may need a further breakdown. There may be a pending, outgoing, and an incoming file for correspondence. There may also be individual files regarding your lease, product inquiries, and the community news.

KEEP IT SIMPLE

Start out with the simple basic file categories. It will be easy at a later date to go through the individual files and create as many additional sub-folders as are needed.

Remember--80 percent of papers that are filed away are never seen again. Use a simple layout of files from the beginning and then review the files frequently. Set up an easy-to-use system and you'll breeze through this boring and menial chore when it has to be done.
