Do You Make Some of These Common Errors? Here's How to Avoid Them.
By Haruna Kwandi Mathias
At one time or another, we have all made mistakes in the body of the emails we send out to others online. Common mistakes in email are an everyday affair and some wise people try to limit the mistakes they make.
But others have a very carefree attitude towards it. Some people will just sit in front of the PC and type. On completion, they'll only click on the send button without going through the email to check for misspelled words, or errors with grammar and punctuation. They hardly even give a second look to the email address of the recipient.
Email is a form of communication and it represents your personality to the recipient. Common mistakes which should have been avoided can be damaging to a business or a relationship.
Following are some common mistakes people tend to make when they have not properly composed themselves in front of the PC.
1. FILLING THE "TO" LINE FIRST--It's wrong to fill in the email address of the recipients before typing the body of the message. If you make any mistake by touching the wrong key, the message will automatically be sent to the address that you have put in place. Of course, the person might then take you as one of those non-serious fellows.2. SENDING EMAIL WITHOUT THE SUBJECT LINE--Emails without a subject line are like a newspaper without headlines. The subject line of email is very important because it captures the attention of the recipient easily. If the person is well-known to you, the message might be read. But if the message is simply going to a portion of your mailing list, you can forget the thought that your email will be read.
3. FAILING TO PERSONALIZE YOUR EMAIL--Avoid using such words as "Hi" or "Hello" in your opening message. It sounds too cold. Your email is supposed to be an informal communication. Try to personalize your email by beginning with "Dear Mr. Smith," "Dear Harry," or just "Harry."
4. NOT KEEPING THE MESSAGE SHORT AND SIMPLE--You don't need a dictionary by your side before you can type an email message. And you don't expect the recipient to make use of a dictionary before he can understand your message. Keep it short and simple. Use short paragraphs and short sentences. There's no harm in writing your message as briefly as you can. Who has the time for a very long message, anyway, especially one that originates from Internet marketers or online business people?
5. FORGETTING TO PROOF READ OR EDIT THE MESSAGE--When you're done typing the message, don't forget to proof read or edit for errors. Brevity is your watchword. It's good to type the message as a draft before sending it.
6. NOT NOTICING THE TONE OF THE MESSAGE--When you type the message, ensure that you're in a good and relaxed mood. Your moods have a way of reflecting in your written or printed words. Keep the tone of the message friendly.
7. BELIEVING THAT YOU CAN SHARE SECRETS WITH EMAILS--It's wrong to believe that you can share secrets in email by thinking that no one else can see the message other than the intended recipient. But you should know that once the message leaves your PC, you no longer have control over it. You can delete the draft copies and the sent copies, but the ones you have sent out might haunt you later.
8. SENDING UNSOLICITED EMAILS--It's wrong to send emails to people who haven't subscribed to be on your mailing list. Sending unsolicited emails is referred to as "spamming" and is an international offense. Beware whenever you send unsolicited email.
9. FORWARDING EMAIL WITHOUT THE CONSENT OF THE ORIGINATOR--Don't forward an email that was originally sent to another person without the sender asking you to do so.
10. THINKING THAT YOU WILL GET AN INSTANT RESPONSE FROM EMAIL--If you are into email marketing, don't expect instant responses from the emails you have sent out. People have their schedules and not all of them have access to the Internet on a daily basis. Failing to get instant response doesn't mean that email marketing isn't an effective means of communication.
11. FAILING TO SEND A FOLLOW-UP MESSAGE--This is a common mistake that online promoters do on a daily basis. They fail to send a second email as a follow up to the first email. The follow up reminds your clients about what you have to offer.
12. NOT USING A SIGNATURE--Because your email is received at the other end with your name and email address, that doesn't mean you shouldn't include it in your message. Your name should appear at the end of every message you send.
Anything you want to do, please do it well. If you're into Internet marketing, you should build a list and avoid common mistakes in your emails.
